Managing Faculty Membership in PRM

Why and How

Keeping an up-to-date list of your program/group membership in People and Role Manager (PRM) is what allows your faculty to see students in GradHub, and take action on academic forms in GradSphere. Fortunately, adding (or removing) faculty from your program/group is as easy as it is important.

  • Listing Your Current Faculty
  • It’s helpful to pull a faculty list first, just to see the status quo. You can navigate to PRM to start. 

    • Click on “PRM” in the menu bar, to open the pull-down menu. 
    • Select “Graduate Program Roles”. Click on that option to open the Role tool.
    • In the filter boxes of the Role tool, enter the name or major code of your program/group in “Group”. 
    • Then, in the “Role” section, hit the small X to remove the default entries. 
    • Click in the blank window and select “Faculty”, to see only Faculty. 
    • On the right side of the filter area, click the blue Filter button. 

    You’ll now see a list of your faculty in PRM!

  • Adding a Faculty Member

  • Adding a faculty member to your program/group is just a couple of clicks. 

    • Use PRM’s search box to find the individual you’d like to add. 
    • When looking at the individual’s profile, click the “Add Role” button in the top-right. 
    • From the “Role” drop-down, select “Faculty”.
    • Enter your major code(s) in the “Group” field.
    • Make sure that “Active Status” says “Active”, and that “Depends on” has defaulted to a dependency that makes sense to you (e.g. your new faculty role is active as long as “Name is a Employee of Chemistry”, or “Name is a Faculty of UC Davis - Campus”). (In the example GIF below, the Test Student has no active dependencies as they are not a real employee.)
    • Hit Save – and you’re done!

  • Removing a Faculty Member
  • A faculty member may have retired, or ended their affiliation with your program/group. Removing them is even easier than adding them!

    • Use PRM’s search box to find the individual you’d like to remove. 
    • From the individual’s page in PRM, click on the role you’d like to remove.
    • In the "Active Status" section, click on the drop-down and select Inactive.
    • Hit Save – and you’re done!
