Graduate Diplomas, Transcripts, and Verification

Information on this page is intended for UC Davis graduate students who have completed a master's or doctoral program.  Undergraduate degree verification can be requested from the Registrar's office.

Degree Conferral Letters

The conferral letter confirms you have completed all graduation requirements and will be awarded your master's or doctoral degree on the conferral date.  Many employers, organizations, and governments who require verification of degree will be satisfied by this letter in the time before your transcript is updated and your diploma is mailed.  Graduate Studies Senior Academic Advisors will email your conferral letter after they have received your final documents and have filed you to graduate.  Due to the high volume of graduating students and the processing time involved in filing students to graduate, it may take up to 3-4 weeks to receive your conferral letter.  If you need the letter by a certain date in order to secure employment, notify your Senior Academic Advisor

Official Transcripts

Transcripts will be updated to notate 'Degree Awarded' approximately two months after the degree awarded date (i.e. a student who is on the June degree list will be able to see their degree on the transcript in early August).  Once you see that your unofficial transcript reflects ‘Degree Awarded’, you can order official transcripts.  Because you paid the Document Fee in your first year, you may order an unlimited number of transcripts for no additional fee (expedited shipping fees still apply).


The Registrar’s Office can order and mail your diploma as early as three months after your degree awarded date, if you complete one of the options below at least a month before distribution.  If you don’t need your diploma right away, you can take action at a later date.  Please note, the Registrar's Office will only order your diploma after you provide a diploma mailing address or place an online order.  Information about distribution dates, ordering deadlines, and more answers to your diploma questions are available on the Registrar’s Office diploma website.

To request the diploma, do one of the following:

  • Complete the Diploma Mailing Address webform, and Registrar’s Office staff will order your diploma, for no additional fee, to be mailed via untracked USPS First Class shipping to the address you provide.
    • You can edit your diploma address as needed, by reopening the webform
  • Order your diploma through our campus partner UEMS-eShipGlobal for tracked shipping, through your choice of carrier (e.g. UPS, FedEx, DHL), for a shipping fee.
    • Do not fill out the diploma address webform if you order through eShipGlobal.

Are you having the diploma mailed to someone other than yourself?  Be sure to type “C/O person’s name” in the address section of the webform or order form.   
Are you having the diploma mailed to an address outside the US? We highly recommend ordering through eShipGlobal or using the diploma address webform to mail your diploma to someone in the US, and asking them to ship it internationally using a tracked carrier.

If you plan to wait to order your diploma at a later date following graduation, you may no longer have access to the diploma webform.  Instead, you can either email the PDF diploma mailing form as an attachment to (do not fill out the payment section), or you can order through eShipGlobal.

Additional Verification of Completion

If your current/potential employer requires additional steps for verification (e.g. direct communication with a Graduate Studies staff member, a mailed/sealed hard-copy conferral letter, or particular wording), contact your Senior Academic Advisor and describe your needs.

Information about your UC Davis Computing Account (access, email, listservs, Library, etc) after graduation is available on Knowledge Base: IT.  You maintain student-level access until the end of your final enrolled or filing-fee quarter.
