UCPath: Important Information About Fee Remission and Refunds

With the transition to UCPath, the new payroll system, this fall, Graduate Studies would like to update students on timelines and expectations regarding graduate student employment, fee remission processes, and financial aid refunds. 

Timing of Graduate Student Employee Remission:

Fall employment for graduate students will be entered directly into UCPath starting in late September. The data entry will continue through the first few weeks of October.  Fee remission (the payment of student employee Tuition & Fees as a benefit of employment) is dependent upon UCPath employment data. Student Accounting will begin processing fall fee remission in mid-September and will continue through November. 

All graduate student employees who receive payment of tuition, fees, and health insurance should have payments credited to their student accounts by the end of October for fall quarter. 

Fee Payment Deadline

Graduate students will never be dropped from current quarter courses as a result of any delay in fee payments. However, if fees are not paid by November 14, students will be unable to register for winter quarter. If you believe that you should have received fee remission and the payment is not reflected in your student account, which can be viewed at mybill.ucdavis.edu, please take the following course of action:

  1. Check the UCPath portal (available to all active employees on September 27, 2019) to verify that your fall position is reflected in UCPath.
  2. If your position is active in UCPath and fee remission has not posted to your student account contact UC Davis Student Accounting.
  3. If your position is not active through the UCPath self-service portal, contact your hiring department or graduate program.

Fall Quarter Financial Aid Refunds

Fall financial aid (loan refund) is scheduled to disburse on September 23. However, with the delay in fee remission processing, any financial aid will first be applied to students’ outstanding balance (instead of being refunded as expected). For students eligible for a loan refund, Student Accounting will be able to release the funds if they receive documentation for fall quarter student employment. Students who would like their loan refund as early as possible can email a copy of their fall appointment letter to myaccount@ucdavis.edu. If your employment letter contains personally identifiable information, you may hand-deliver your documentation to Student Accounting in Dutton Hall starting on September 17.
